Summary
When First AML verify an entity, such as a Private Company or Trust, certain documentation needs to be collected, for example when a Trust is involved a copy of the Trust Deed.
First AML locate documentation online where possible (such as the Company Extract), and request the remaining documentation via our Secure Web Form, which is a secure form for individuals to upload relevant entity documentation directly to the First AML platform.
When entity documentation is submitted to the platform either via the Secure Web Form or through First AML team upload, it is scanned for viruses and the result is visualised in the platform. This provides protection to First AML and our customers from people either maliciously or accidentally uploading malware.
Results
The results of the malware scan are generated into a column within the entity Documents Tab.
To locate the results, first navigate to the relevant case within the First AML platform. Next, click the 'Entity Structure' Tab. Click the box of the relevant entity (e.g. First AML Limited), then click the 'Documents' Tab.
The 'Virus Scan' column shows the state of the scan;
- Scanning (in progress)
- No threat
- Threat
What if a threat is detected?
If a threat is identified, the document will be blocked, meaning viewing/downloading will be disabled.
The First AML team will contact the individual who uploaded the compromised document, advise that the copy they supplied contained a threat, and request another document to be provided.
For example, if an individual provides a compromised Trust Deed, the First AML team will request either a different copy of the Deed or an alternative document confirming the Trust information such as a letter from their solicitor.
